Q: How scalable is Lane’s Fax Server?

Lane’s Passport 4000 Fax Server is a highly adaptable solution. It is cost effective for smaller users but can handle the needs of even the largest enterprises. It is, in fact, one of the most powerful fax server solutions on the market today.

Q: Can I fax from my current e-mail system?

Passport 4000 supports interfaces to all commonly used email systems.  The user simply creates an email adding attachments when required and addresses the message to the fax number or numbers required.  PASSPORT will automatically render the attachments into fax images and send them in the order of attachment.

Q: Can SMS messages be integrated into my communications infrastructure?

Passport 4000 supports SMS gateways for both sending and receiving text messages. Messages may be prepared in email or by other automated processes.

Q: Can I design my own cover sheets?

The Passport 4000 administration library includes a “drag and drop” style cover sheet designer to allow you to quickly deploy as many different coversheets as required.

Q. Does Passport 4000 have a user interface other than email?

Passport Communications Centre (PCC) may be deployed as the user interface. This is similar in look and feel to Microsoft Outlook and provides the user, based on their security policy, with communication and department views of all message traffic.  Supervisor oversight of messaging may be provided along with message approval prior to send.  Click here to find out more about PCC

Q: Has email removed the need for a fax server?

Of course email is convenient and is ever more popular - but email does not replace fax. A fax is considered legally binding, whereas an email is not. Therefore fax will be the preferred medium for many documents for many years to come. With a fax server you can merge your email and fax communications to really save time and improve productivity.

Q: How do I know how many fax lines my fax server needs?

Sending faxes: Every hour, up to 60 faxes can be sent. In a 7 hr day, therefore, it is possible to send up to 420 faxes. So if you have 1000 faxes to send out, 3 fax lines will be needed.

Receiving faxes: Every hour, up to 60 faxes can be received. In a 7 hr day, therefore, it is possible to receive up to 420 faxes. So if you need to receive around 1000 faxes, 2.38 fax lines will be needed x 3 to avoid fax senders getting a busy tone. So a total of 7 fax lines will be ideal.

Q: How should I calculate the number of fax lines for a busy system?

Receiving or sending a page of fax takes between 20 and 60 seconds depending on content and resolution.  You should calculate the maximum number of pages of faxes that you may need to send in any single hour; this will allow you to calculate how many lines you will need for outbound faxing.  Then do the same for inbound.

Q. If I use my email client for preparing faxes, can I have a fax coversheet automatically added to the fax with all of the “To:” and “From:” details included?

Yes, the fax server may be configured to automatically select a unique cover sheet for each user or group of users.  This may be defined through the passport administrator program or through active directory.  The “To:” and “From:” information will be automatically populated by the Passport 4000 Fax Server.

Q. Does Passport 4000 Support automatic inbound routing to users.

Passport 4000 supports many methods of automatically delivering inbound messages to both users and applications.  This may be though:

DID/DDI (Direct Inward Dialling/Direct Dial-In), a feature provided by either a PABX or Trunk line that allows dialled extension numbers to be automatically routed on to the fax server.
DTMF (Dual Tone Multi Frequency) that requires the user to key in additional codes.
CSID (Call Subscriber ID) based on the fax ID matched to a recipient table.
Line Routing, assigns a specific line to a destination.

Q. I have the need to manage the flow of faxes around my enterprise; can Passport 4000 manage this?

Q. How many fax ports does the system support?

A Single Passport 4000 System supports 500 ports.  Multiple systems may be configured as an enterprise.  A single hardware platform may contain the fax hardware/software to support up to 120 ports.

Q. What operating system does Passport 4000 run on?

Passport is optimised to run on Windows 2003 and 2008 Server.

Q. Do I have to manually resend failed faxes?

Passport 4000 will automatically redial numbers that are busy.  There is a retry sequence that may be adjusted as required to define how many times Passport will retry to a busy number.  After that it will be returned to the user with the reason for failure.

If the message is directed to a number that is not a fax the message will be returned directly to the user for repair.

Q. Can I restrict Administrative rights to a particular user?

Yes, each user’s security policy defines their rights within the Passport 4000 system.  This includes administration rights.

Q. I have a number of departments in my organisation that need to use a fax server.  Is there any way that I can separate a department’s data so that it may not be viewed by members of another department?

Yes, Passport 4000 may be configured to support multiple department and companies.  The security policy allows the creation of department administrators who may administer only their departments or company’s data and queues.

Q. Can I integrate my MFP devices to Passport 4000?

Yes Passport 4000 supports an unlimited number of MFP devices

Q: Does Passport 4000 work with legacy infrastructures?

As well as being a Fax Server Passport 4000 is a Communications Server supporting many protocols both old and new, including telex.  In fact with the demise of many of the worlds telex systems Passport now supports real time IP telex as supplied by SwissTelex and Easylink Services.
